BOARD of DIRECTORS MEETING
April 11, 2024
Call to order and Attendance
The meeting was held at the Clubhouse and called to order at 9:11 AM. Present: Bill Neal, Chuck Koons, Susan George, Sandi Pierce, Doreen Van Buren. Observers – Jaime Ciarla, Fran Neal, Ernie George
Member Open Forum
- Jaime presented summary of the Fundraising Committee meeting held on 3/20/24. Many good ideas were shared. A less expensive golf cart was found for about $6500+tax – estimated $7200. It still has all the bells & whistles. The committee recommends adding additional prizes to increase sales: 1st place the golf cart; 2nd place Cruise for two @ apx $2500; 3rd prize $1500 cash; 4th prize $1000; 5th prize $100. In addition, there would be rewards for the 3 top sellers – $500, $300 & $200. Lynne is looking into a credit card machine, Vivian is checking out having a booth at one of the PSL events, and Chuck offered to pay for the ticket printing. Additional considerations are passing out notices/sending postcards to out-of-state folks, and finding out if the dealer would take the cart back and give the winner cash if they didn’t want the cart. Jaime shared the idea of hosting a “Casino Night” put on by a professional organization, at which time the golf cart drawing would be done. All is dependent on obtaining our 501C-3 status.
- Jaime stressed that she is trying to get some fun things going. She shared other fund raising ideas – a car/truck/golf cart wash. This would entail permission by the WBC to set up at the clubhouse and use their water. We would supply hoses, soap etc. A minimum of 8 HOA members would need to volunteer to help. Other ideas are to have a Talent Contest and a fundraising “Walk/Run” at some point.
Minutes of March 14, 2024
- Sandi moved that reading of last meeting minutes be waived. Chuck seconded. All were in favor. Motion carried.
Retaliation
- Add new issue of Pool Party harassment. We need to do another park survey. Bill and Fran will inspect and photograph problem areas. It’s been noted that our maintenance staff have been pulled to work on the Wynne houses despite maintenance needs in the park.

Past Events
- Pool Party March 17th went well despite the issues with management and lack of canopies. Susan suggests that we not have a DJ next year. We can play our own music and have games and prizes
- BUNCO March 29th had the usual number of attendees and was fun.
Upcoming Events
- SPRING FLING 4/20 – Preparations are going well.
- SUNDAY BRUNCH 4/28 – The hours will be 9:30 to 2pm. Breakfast then lunch will be served. We’ll see how that goes.
- MEMBERSHIP MEETING 5/2
- KENTUCKY DERBY PARTY 5/4 – Won’t be held as nobody volunteered to coordinate it.
- MEMORIAL DAY PROGRAM 5/27 – Nobody has volunteered to do a program. Chuck will be away and Russ is gone. Agreed we will do a brief ceremony at the flagpole and leave it at that this year. A Memorial Day weekend Brunch is planned for 5/26.
- GRILLE schedule The Grille will be closed for June through August. Plan is to reopen 9/9.
Old Business
- 501C-3 – Nothing yet. Bill will follow up.
New Business
- Summer Schedule – All agreed we will suspend regular meetings in June, July & August. A special meeting will be called if needed.
- Pool Rules – The rules make no sense. There was a petition done in the past, but it failed apparently due to too few people signing. It is still a hot topic with residents. At the May 2nd meeting we’ll ask for people to form a committee to explore trying again to get changes made.
- Accomplishments – It’s been years since we brought HOA accomplishments forward. Decided to put together a list reflecting what we’ve accomplished.
- Speeding & failure to stop at stop signs – This continues to be a big concern and safety issue. We can’t get police to patrol unless the Wynne’s ask them to. Suggestion made to take down license plate numbers of speeders and those who don’t stop at stop signs. We should contact the Wynne’s to let them know this is a serious safety issue. Suggestion made to start a “Safety Committee.”
- Smoking – Some people continue to smoke in places marked as no smoking zones.
- Reporting issues to park management- There are fears of retaliation. Suggest that concerns be filed online or placed in an envelope marked with park manager’s name.
- Next BOD meeting for 5/9 will not be held. Meetings will be called as needed over the summer.
Adjournment of open meeting – Chuck moved to adjourn the open segment of the meeting at 9:56 AM. Sandi seconded. All were in favor and the motion passed.
