BOARD of DIRECTORS MEETING
October 14, 2024
Call to order and Attendance
Rescheduled meeting was held at the Clubhouse and called to order at 2:06 PM. Present: Bill Neal, Susan George, Sandi Pierce, Doreen Van Buren
- Member Open Forum – No other members attending
- Approval of Minutes – Doreen moved to waive the reading of the minutes from 9/12/24. Sandi seconded, all in favor and motion passed.
OLD BUSINESS
- Flu Shot clinic was held 10/2/24 went well. More than 30 people came. All vaccines were available but we were not aware and did not advertise it that way. Will plan to repeat annually and next year will advertise that all kinds of vaccines are available.
- Past Events – Oktoberfest went well with estimated income about $600.
- Upcoming events
- Wellness Event is scheduled for 10/16/24. Some confusion noted regarding hours. Resolved that 10am – 12noon is correct. All BOD members should attend.
- New Resident Meeting to be held on Sunday 10/20/24 at 2pm in the Lounge. Sandi has some new materials for the handout packages, including folding maps of the area, info. on Civic Center events, Bank stuff. She has updated information sheet
- Craft Fair-Flea Market is ready for 10/26.We need to remind everyone that we need donations. Bill will post a reminder on FaceBook.
- 501C-3 – Chuck is still working on it
- WBC property condition – No improvement
- Car Wash Fundraiser – The tickets are in. Sandi needs someone to take on the coordination and record keeping. She has numbered tickets to track where they ar distributed and to maintain accountability. Sandi will post information on FaceBook. Susan will create a flyer and post on the website and around the clubhouse. We will sell tickets at all social events, meetings and at the Grille. Jaime said they could be sold at the Caffe as well.
- Clubhouse Roof Concern – No discussion at this time
- Block Captains – We have about half the number we need. Bill plans to hold a meeting with the volunteers to discuss the duties. Handouts will be prepared and will include listing of HOA accomplishments, explanation of who we are and aren’t, what we do and don’t do. We can include a request for suggestions to survey what they would like the HOA to be doing with events etc.
NEW BUSINESS
- Hurricane Helene – Bill has spoken with Bob Heslop at Country Club. Per Bob, 2 days after the hurricane, Eric Wynne met with residents whose houses had been damaged. A letter/form was given to them with options for keeping or relinquishing their homes (See attached). Per Bob, Eric Wynne pressured folks to sign over their homes and told them they would have 24 hours to remove all their personal belongins from the property. No consideration would be given to the status of those who had sustained damage. Furthermore, per Bob, the group was advised that until all had decided and signed off, electric and water/sewer service would not be restored. Bob said that he had forwarded information to Jacob but had not yet been able to speak with him. Bill shared that there was still no internet connectivity in the area and he had not been able to speak again with Bob.
- Communication with Robocalls – Bob told Bill that Country Club was looking into a service for doing Robocalls to residents to share information efficiently. Resolved that we would canvas our residents regarding preferences for alternative ways to communicate with them, i.e. calls, emails, text messages.
- Mobile home removal – Susan found a site that offers to remove donated homes at no cost. This needs to be explored further before sharing with residents.
- Signs – the NEC has asked to use our sign boards again to advertise their events. All agreed that this would impair our ability to advertise our own events, and since the NEC has access to the park newsletter for advertising, they are not in as much need as are we. All agreed we need to increase the signage for our events so we need more signs. Bill will work on making more, but it will cost $100 – $150 to construct them.
- Creative Writing Course – Richard Yun expressed desire to hold a creative writing course as an HOA fundraiser. It may be more feasible if it isn’t considered an HOA event. Susan to call him to discuss it.
- Neighbors Helping Neighbors – Discussed program and current coordination. Rich Zwack is unable to coordinate it at this time. John and Sandy Pierce have agreed to take it on. Susan will forward information on the Sign Up Genie program to possibly facilitate scheduling of volunteers.
- Ice Cream Socials – We need someone to take this on. Susan and Sandi can’t continue to do it on top of Grille duties etc. Future monthly socials will be from 3-5pm. Only 2 people are needed to run it.
- Bake Sales – Discussed doing bake sales at our November and December meetings. Susan to post and to email about it.
- Gift Certificates for the Grille – All agreed to giving them to employees for Christmas again this year. Sandi needs some more for her Welcome packets.
- There has been some mention that the WBC has purchased an AED for the clubhouse and they are going to train their employees to use it. When we do a CPR course, residents will also get training.
- Fundraising – We have lost fundraising potential with the loss of the monthly breakfasts we used to do. Discussed requesting a return to our one monthly scheduled breakfasts or initiating a new Friday Night Dinner event. All agreed to try the dinner route in November and December. Bill will clear 11/15 and 12/20 for dinners from 5 – 7, before other events like Game Night. Susan & Ernie will do a Crab Cake Dinner in November and Sandi will do a Lasagna Dinner in December.
- Cookie Swap – Susan suggested a Christmas Cookie Swap event. To discuss further
- Event inspired cookbook – Another fundraising idea would be to do a cookbook based on dishes served at our various events. To discuss further

Regular Meeting Adjournment – Doreen moved to adjourn the regular BOD meeting at 3:15PM; Sandi seconded and all were in favor
